Here is the format I am using to create the races.
So for example, if I am creating unicorns and in my notes I say unicorns are unable to drink water. Then later in my dot points I say unicorns can only fly if they drink lots of water, unicorns can drink water.
See the importance? So the notes in the beginning wont all be contradictory, this is just in case it does contradict some of the later stuff.
Notes
Firstly, we get the text where I from a stream of consciousness and a little bit of thought I came up with some of the key concepts and ideas of the races. This is probably going to be fairly cluttered and it might contradict some of the later stuff. What is written here is secondary, what comes later is what is fact.
Poem
The notes end when we get to a poem, yes, poem. I might put another one in after the first but there will be a poem written by some dead poet. The poem doesn't mean fact, it could be using metaphors or hyperbole. But poems are fun, there will be a poem. I took care to make them in a fashion that I normally wouldn't make them. For example, in the vampire one I used repetition in 2 instances deliberately and I worded it in a manner that this poet I created would word it. In other words, ya don't like the poem than blame the character XD
The facts
Everything after the poem is facts. Here I've added more stuff that wasn't in the notes and I've organized all the information in the notes, likely to be in the form of dot points. Everything past the poem is what the race is and its relations/abilities/strengths/weaknesses are all here. If something in the notes says otherwise and it has contradicted something here, the notes are wrong and this is right.
There may be a picture that will be a guideline on how the race will look.
Is anyone confused?
